Most people either don't send a thank you email after interviews, or they send one that does nothing for them.

A good thank you email can be the difference between getting the offer and getting rejected.

Here's exactly how to write one that works:

Send it within 24 hours of your interview.

Not a week later. Not same-day within an hour (looks desperate).

24 hours is the sweet spot.

Keep it short.

3-4 paragraphs max. They don't want to read an essay.

Use a clear subject line.

"Thank you - [Your Name] - [Role Title]"

Makes it easy for them to find later.

The structure that works:

Paragraph 1: Thank them and mention something specific from the interview.

"Thank you for taking the time to speak with me yesterday about the [Role] position. I really enjoyed our conversation about [specific project/challenge/topic you discussed]."

This shows you were actually paying attention.

Paragraph 2: Reinforce why you're a good fit.

"Our discussion about [specific thing] reinforced my interest in this role. My experience with [relevant skill/project] would allow me to contribute immediately to [specific team goal or project]."

Connect something from the interview back to your qualifications.

Paragraph 3: Express continued interest and close.

"I'm very excited about the opportunity to join [Team/Company] and contribute to [specific goal]. Please let me know if you need any additional information from me. I look forward to hearing about next steps."

Example email:

Subject: Thank you - Sarah Chen - Marketing Intern

Hi Jessica,

Thank you for taking the time to speak with me yesterday about the Marketing Intern position. I really enjoyed our conversation about the upcoming rebrand campaign and how the team collaborates across departments.

Our discussion about content strategy reinforced my interest in this role. My experience growing my university's Instagram following by 150% through data-driven content would allow me to contribute immediately to your social media goals.

I'm very excited about the opportunity to join the marketing team and help drive engagement for the rebrand launch. Please let me know if you need any additional information from me. I look forward to hearing about next steps.

What makes this work:

It's specific (mentions the rebrand campaign). It's short (4 sentences per paragraph). It reinforces fit (connects her experience to their needs). It's professional but warm.

What NOT to do:

Don't send a generic template they can tell you copied. Don't apologize for anything in the interview. Don't ask about salary or benefits in the thank you email. Don't write a novel. Don't send it to the wrong person's email.

If you interviewed with multiple people:

Send individual emails to each person. Customize each one with something specific you discussed with THAT person.

Don't just copy-paste the same email to everyone. They'll compare notes.

The truth:

Most candidates don't send thank you emails.

The ones who do often send generic, forgettable ones.

If you send a specific, well-written thank you email, you stand out.
