A recruiter emails you:

"Thanks for applying! When are you available for a quick call this week to discuss the role?"

Most students reply:

"I'm pretty flexible, let me know what works for you!"

This sounds polite. But it creates unnecessary back-and-forth.

Here's what to do instead:

Give them 3-5 specific time slots.

Good response:

"Thanks for reaching out! I'm excited to discuss the role. I'm available:

- Tuesday, Jan 21st at 10am or 2pm EST
- Wednesday, Jan 22nd at 11am or 3pm EST
- Thursday, Jan 23rd at 9am EST

Let me know what works best for your schedule. Looking forward to speaking with you!"

Why this works:

Makes scheduling easy (one email instead of five)
Shows you're organized
Respects their time
Gives them options without being vague

What NOT to do:

"I'm free anytime!" (Sounds like you have nothing going on)
"What times work for you?" (Puts all the work on them)
Giving only one slot (too restrictive)
Taking 24+ hours to respond (shows low interest)

Pro tips:

  • Include your timezone (especially if applying to companies in different states)

  • Offer morning AND afternoon slots

  • Respond within 2-3 hours if possible

  • Be genuinely available at those times (don't make them reschedule)

If they suggest a time you can't do:

"I have class at that time, but I can make 2pm or 4pm work. Would either of those work for you?"

Never just say you're busy without offering alternatives.
